Submission Guideline

Prospective authors are encouraged to submit original and unpublished papers that fulfill the following guidelines:

Paper Preparation Guidelines

  • Format: Papers must be written in A4 format, following the IEEE manuscript template. The paper should be between four (4) to seven (7) pages in length. Submissions exceeding eight (8) pages will not be accepted.
  • Submission Format: All papers must be submitted in PDF format, with a maximum file size of 2 MB. Accepted and presented papers will be published in the Conference Proceedings and submitted to IEEE Xplore® online digital library.
  • IEEE PDF Requirements:
    IEEE has strict requirements for converting application files or PostScript files to full-text PDFs for inclusion in IEEE Xplore®. It is crucial that all fonts used in your paper are embedded and subsetted. Failure to do so is the most common reason for PDF rejection. Be sure to follow the guidelines to ensure compliance.

Minimum IEEE PDF Requirements:

  1. PDF Version: Must be PDF 1.4 (Acrobat 5) or later, but not Acrobat 9.
  2. PDF Creation: Must be created with a PDF distiller (scanning is not allowed).
  3. Font Embedding: All fonts must be embedded or subsetted to ensure proper formatting and searching.
  4. Security Settings: The PDF must not contain any password or security settings.
  5. No Bookmarks or Links: The PDF must not contain bookmarks or links. Links are only supported via a summary.txt, readme file, or a packing list.
  6. No Additional Marks: The PDF must not contain crop marks, registration marks, date stamps, time stamps, or any other non-official marks.
  7. No PostScript Overrides: The PDF should not contain any PostScript that overrides the settings file.
  8. No Attachments: The PDF must not use attachments or PDF packages.
  • Using IEEE PDF eXpress:
    You must use IEEE PDF eXpress to check your PDF file or convert a .doc/.docx paper into IEEE Xplore-compatible format. To access IEEE PDF eXpress, go to https://ieee-pdf-express.org/account/login
  • New Users:
    1. Click New Users – Click Here.
    2. Enter the Conference ID: 67586.
    3. Provide your email address and password.
    4. Follow the prompts to complete your registration.
  • Previous Users:
    Follow the same steps but use your previous password to verify your contact information.
  • PDF eXpress Support:
    For any issues or questions, visit the Publications Support Center for IEEE PDF eXpress at http://ieee.custhelp.com/app/answers/list/p/12. If you can’t find an answer, use the Ask A Question tab to get assistance within 3 business days.

Plagiarism & Double Submission Policy
IEEE strictly adheres to policies against plagiarism and double submission. Any paper found to contain plagiarized material or being submitted simultaneously to multiple conferences will be disqualified. Authors must ensure that their paper has not been submitted to any other conference or workshop.

No Show Policy
As per IEEE policy, at least one author of the accepted paper is required to present the paper at the conference. Papers with no-show authors will not be submitted to IEEE Xplore® and no refund will be provided. It is mandatory to pay the registration fee before submitting the final publication-ready version of the paper. One registration covers one paper.

In case of multiple accepted papers, one full registration is valid for only one paper.
